The CACFP reimbursement (taxable income), seasonal enrollment fluctuations (summer drops when school-age children leave), and the timing of payroll tax deposits all affect cash flow around quarterly payment dates.

CACFP reimbursement is income: The reimbursement isn’t tax-free. It offsets food costs but increases gross income. A center receiving $33,600/year in CACFP must include this in revenue.

Payroll taxes are the largest tax expense: With 50-60% of revenue going to staff wages, the employer’s FICA, FUTA, SUTA, and workers’ comp obligations are substantial. These are deposited on a regular schedule (monthly or semi-weekly) through EFTPS, separate from estimated income tax.

S-Corp owners can use W-2 withholding: Instead of making quarterly estimated payments on pass-through income, the S-Corp owner can increase their W-4 withholding to cover the additional tax. W-2 withholding is treated as paid evenly throughout the year.
