Moving Company Deductions: Fuel, Insurance, Equipment, and Packing Supplies

Written by Yarik Yarosh, CPA (US & Canada) September 5, 2026 · FL CPA license AC61704 · CPA Ontario

Moving companies carry high operating costs: fuel, vehicle maintenance, labor, insurance, and supplies consume most of the revenue. Every legitimate expense reduces taxable income. The distinction between COGS (packing supplies consumed on a move) and operating expenses (fuel, insurance, rent) matters for accurate financial reporting, though both reduce taxable income.

✓Key takeaway

Deductible expenses for moving companies:

COGS (supplies consumed per move):

  • Moving blankets and pads (replacement cost)
  • Packing boxes, tape, bubble wrap, paper
  • Shrink wrap and stretch film
  • Mattress bags and furniture covers
  • Dollies, straps, and equipment rental (if rented per job)

Operating expenses:

  • Fuel (the largest variable cost, often 15-25% of revenue)
  • Commercial auto insurance (liability, cargo, physical damage)
  • Vehicle maintenance and repairs (tires, brakes, oil changes)
  • Storage facility rent (if the company offers storage services)
  • Employee wages and payroll taxes (movers, drivers, dispatchers, office staff)
  • Workers’ compensation insurance (high premiums in moving, classified as manual labor)
  • General liability insurance
  • Cargo/transit insurance (covers customer belongings during the move)
  • Office rent and utilities
  • Dispatch and CRM software
  • Marketing (Google Ads, Yelp, lead generation services like Moving.com, HireAHelper)
  • DOT and USDOT compliance (for interstate movers): registration fees, drug testing, vehicle inspections
  • Uniforms and safety equipment
  • Cell phones and GPS devices for trucks

How should fuel costs be tracked?

Fuel is typically the second-largest expense (after labor) for a moving company. For current guidance, see IRS Publication 535 (Business Expenses). The IRS prefers actual expense tracking over the standard mileage rate for commercial trucks used 100% for business.

What about lead generation costs?

Moving companies spend heavily on customer acquisition. Lead generation platforms (Moving.com, Angi, Yelp, Thumbtack, HireAHelper) charge per lead or per booking. These costs are fully deductible as advertising and marketing expenses.

Google Ads spending for “movers near me” and local search campaigns is similarly deductible. The key is tracking the cost per customer acquisition to ensure marketing spend is profitable, which is a business decision separate from the tax deduction.

Can a moving company deduct the cost of settling damage claims?

Yes. Payments to customers for damaged or lost property during a move are deductible as ordinary and necessary business expenses. The deduction applies whether you pay out of pocket or through an insurance claim (in which case the deductible portion and any premium increase are the deductible costs). If you carry released-value or full-value protection coverage, the premiums are deductible as business insurance. For larger claims settled through litigation, legal fees and settlement payments are deductible as long as they arise from normal business operations, not from willful misconduct or fraud. Document each claim with the customer’s report, photos if available, and the resolution, because the IRS may question unusually large or frequent damage deductions.

What records do I need to keep to substantiate my tax deductions?

The IRS requires records that show the amount, date, place, and business purpose of each expense. For expenses under $75, a log entry or digital note is sufficient; for $75 and above, you need a receipt. Bank and credit card statements alone are not sufficient documentation because they show the amount and vendor but not the business purpose. For meals, you must record who was present and the business topic discussed, in addition to the receipt. For vehicle expenses, a contemporaneous mileage log is required (paper or digital app), recording the date, destination, business purpose, and odometer readings. The IRS can disallow deductions entirely if you cannot produce records during an audit, even if the expenses were legitimate.
