HVAC Estimated Taxes: Seasonal Demand Cycles and Quarterly Payments
HVAC has a unique dual-peak seasonal pattern that sets it apart from most trades. Instead of one busy season and one slow season, HVAC has TWO busy periods (summer cooling and winter heating) separated by TWO shoulder seasons (spring and fall) when demand drops. This creates a W-shaped revenue curve. The peaks are driven by emergency calls (AC breaks on the hottest day of summer, furnace fails on the coldest night of winter) and by installation demand (replacement systems before summer/winter). Maintenance agreements provide a stabilizing floor of revenue year-round, and this predictable income makes estimated tax planning easier than for trades with a single peak. The dual-peak pattern also means the annualized income installment method provides less cash flow benefit than for single-peak businesses because no quarter is truly dead.
HVAC seasonal revenue pattern:
| Month | Revenue | Driver |
|---|---|---|
| January | $18,000 | Heating repairs, furnace replacements |
| February | $15,000 | Late winter heating calls |
| March | $10,000 | Shoulder: maintenance agreements |
| April | $12,000 | Pre-summer AC tune-ups |
| May | $15,000 | Early cooling season |
| June | $22,000 | Peak AC demand begins |
| July | $25,000 | Peak AC (emergency repairs) |
| August | $20,000 | Late summer cooling |
| September | $12,000 | Shoulder: maintenance agreements |
| October | $10,000 | Pre-winter furnace tune-ups |
| November | $15,000 | Early heating season |
| December | $20,000 | Peak heating demand |
| Total | $194,000 |
Peak-to-trough ratio: 2.5x (July $25,000 vs. March $10,000) This is one of the mildest seasonal ratios in the trades because of the dual-peak.
Maintenance agreements as a stabilizer: 150 agreements at $200/year = $30,000 in predictable revenue. Spring visits (April-May): 75 agreements serviced Fall visits (September-October): 75 agreements serviced This fills the shoulder seasons when emergency calls are low.
Set-aside: 20-25% of net profit
- On a $400 service call with $100 in parts: net $300, set aside $60-$75
- On a $10,000 installation with $5,000 in equipment: net $2,000-$3,000, set aside $400-$750
