Estimated Tax Payments for HVAC Installation Businesses
HVAC businesses have an unusual seasonality pattern compared to most trades. Instead of a single peak season, they have two peaks: summer (cooling installations and emergency AC repairs) and winter (heating installations and furnace emergencies). The shoulder seasons (spring and fall) are lower, with maintenance contracts providing baseline revenue. This dual-peak pattern means income isn’t evenly distributed across quarters, which affects estimated tax payment timing.
Typical HVAC revenue distribution:
- Q1 (January-March): 20-25% (late-winter heating demand)
- Q2 (April-June): 25-30% (cooling season ramp-up, spring installations)
- Q3 (July-September): 30-35% (peak cooling, emergency AC calls)
- Q4 (October-December): 15-20% (fall shoulder, early heating demand)
Estimated tax strategies:
S-Corp owners (recommended for HVAC): W-2 withholding is the simplest approach. Set the W-4 to withhold enough to cover the total annual tax. Withholding is treated as paid evenly throughout the year, eliminating the seasonal timing problem entirely.
Sole proprietors: Option 1: Prior year safe harbor (100%/110% of prior year tax, divided by 4). Simple, but may result in overpaying during Q4 (the slowest quarter).
Option 2: Annualized income installment method. Calculates required payments based on actual income earned in each period. Lower payments in slow quarters, higher in peak quarters. Requires Form 2210 Schedule AI.
Option 3: Set aside 12-15% of gross revenue received (for a materials-included business) or 25-28% of net profit (for a labor/service-focused business) into a separate tax account. Pay from this account quarterly.
Maintenance contract consideration: Maintenance contracts ($150-$300/year per customer) provide steady, predictable revenue. As the maintenance base grows, seasonal volatility decreases. A business with 200 maintenance contracts at $200 each generates $40,000/year in baseline revenue, reducing the impact of seasonal peaks on estimated tax planning.
