Self-Employed Quarterly Tax Payment Calendar and Deadlines for 2025

Written by Yarik Yarosh, CPA (US & Canada) September 5, 2026 · FL CPA license AC61704 · CPA Ontario

Self-employed individuals (sole proprietors, S-Corp owners on distributions, independent contractors, freelancers) have no employer withholding taxes from their pay. The IRS requires them to estimate their annual tax and pay it in four installments throughout the year. These are not optional prepayments; failure to make adequate estimated tax payments triggers an underpayment penalty under IRC 6654. The penalty is calculated at the federal short-term rate plus 3 percentage points (approximately 7-8% annualized in 2025), applied to each underpaid installment for the number of days it remains underpaid. There are three safe harbor methods to avoid the penalty: the prior-year safe harbor (pay 100% or 110% of last year’s tax), the current-year safe harbor (pay 90% of this year’s tax), and the annualized income installment method.

2025 estimated tax payment calendar:

PaymentPeriod CoveredDue DateForm 1040-ES
Q1January 1 - March 31April 15, 2025Voucher 1
Q2April 1 - May 31June 16, 2025 (15th is Sunday)Voucher 2
Q3June 1 - August 31September 15, 2025Voucher 3
Q4September 1 - December 31January 15, 2026Voucher 4

Note: the quarters are NOT equal. Q2 covers only 2 months (April-May), while Q3 covers 3 months (June-August). This is a quirk of the schedule, not a mistake.

Who must pay estimated taxes:

  • Sole proprietors (Schedule C filers)
  • S-Corp owners (on distributions, beyond W-2 withholding)
  • Partners in partnerships
  • Independent contractors (1099 workers)
  • Freelancers
  • Anyone expecting to owe $1,000+ in tax after withholding and credits

Three ways to avoid the underpayment penalty:

1. Prior-year safe harbor (IRC 6654(d)(1)(B)):

  • Pay 100% of prior year’s tax liability
  • If prior-year AGI exceeded $150,000 ($75,000 MFS): pay 110% instead
  • Split into 4 equal quarterly payments
  • No penalty even if current-year tax is much higher
  • Best for: growing businesses, Year 2 businesses (prior year had low/zero tax)

2. Current-year safe harbor:

  • Pay 90% of current year’s actual tax
  • Each quarter must meet or exceed the required amount
  • Penalty if any quarter underpays
  • Best for: stable businesses with predictable income

3. Annualized income installment (Form 2210 Schedule AI):

  • Each quarter’s payment based on actual year-to-date income
  • Best for: seasonal businesses (landscaping, snow removal, construction)
  • Requires filing Form 2210 Schedule AI with the return

Penalty rate (2025):

  • Federal short-term rate + 3% = approximately 7-8% annualized
  • Applied per quarter, per day of underpayment
  • Example: $5,000 underpayment for one quarter (90 days): $5,000 x 8% x 90/365 = $99

How do quarterly payments work step by step?

What penalties apply for underpaying estimated taxes?

The IRS charges an underpayment penalty under IRC 6654 when you owe more than $1,000 at filing and your withholding and estimated payments are less than the required annual amount. The penalty is calculated separately for each quarter, so a large payment in Q4 doesn’t fully cure an underpayment from Q1 through Q3. You avoid the penalty entirely if your payments cover at least 90% of the current year’s tax or 100% of last year’s tax (110% if your AGI exceeded $150,000). The penalty rate is the federal short-term rate plus 3 percentage points, compounded daily. If your income varies significantly during the year, the annualized income installment method (Form 2210, Schedule AI) can reduce or eliminate the penalty by matching payments to when income was actually earned.

Should I use EFTPS or IRS Direct Pay for estimated tax payments?

Both are free and accepted by the IRS, but they work differently. EFTPS (Electronic Federal Tax Payment System) requires enrollment, which takes 5-7 business days for the verification PIN to arrive by mail. Once enrolled, you can schedule payments up to 365 days in advance, which is useful for automating quarterly payments. IRS Direct Pay requires no enrollment and processes same-day payments, but you cannot schedule future payments. For state estimated taxes, most states have their own online payment portals. Always save the confirmation number for every payment as proof in case of disputes.
