ATM Business Tax Deductions: Machines, Cash Loading, and Processing Fees

Written by Yarik Yarosh, CPA (US & Canada) September 5, 2026 · FL CPA license AC61704 · CPA Ontario

The ATM business has a unique deduction profile compared to most service trades. The primary deduction is equipment depreciation (the machines themselves), followed by processing fees and location commissions. Unlike most businesses where labor is the dominant cost, ATM operation is capital-intensive and labor-light: the owner buys machines, places them, loads cash, and collects surcharge revenue. This means the Year 1 depreciation deduction from machine purchases can be massive relative to operating income, often creating a paper loss that offsets other income. The ongoing operating deductions are processing fees (paid to the payment network), location commissions (paid to the merchant hosting the ATM), and vehicle expenses for the cash loading route.

✓Key takeaway

ATM business deductions:

ATM machines (depreciable equipment):

  • New machines: $3,000-$8,000 each
  • Used/refurbished machines: $2,000-$3,500 each
  • Through-the-wall units: $5,000-$15,000 each
  • All classified as 7-year MACRS property
  • Eligible for bonus depreciation (100% in Year 1 under current law)
  • Eligible for Section 179 expensing
  • 10 machines at $3,500 = $35,000 in Year 1 depreciation
  • 25 machines at $3,500 = $87,500 in Year 1 depreciation

Installation costs (capitalize with machine or expense):

  • Electrical work: $100-$500 per machine
  • Signage and branding: $50-$200 per machine
  • Bolting/anchoring: $50-$200 per machine
  • Network setup: $50-$100 per machine
  • If under $2,500 per item, can be expensed under de minimis safe harbor

Processing and network fees (ongoing, deductible):

  • Transaction processing fee: $0.15-$0.35 per transaction
  • Monthly processing minimum: $25-$50 per machine
  • Network fees (Allpoint, MoneyPass, if applicable): varies
  • Statement and reporting fees: $10-$25/month
  • PCI compliance fee: $50-$100/year per machine
  • Total processing: $300-$600/machine/year

Location commissions (ongoing, deductible):

  • Fixed rent: $50-$200/month per location
  • OR percentage of surcharge: 30-50%
  • OR hybrid: small fixed fee + percentage
  • This is the largest ongoing expense, typically 30-50% of gross surcharge revenue
  • Deductible as rent or commission expense

Vault cash costs:

  • Vault cash is the cash loaded into the machines for dispensing
  • It is NOT a deductible expense (it’s an asset, not consumed)
  • However, the COST of vault cash is deductible:
    • Interest on a vault cash line of credit: deductible
    • Opportunity cost: not deductible (you can’t deduct the return you didn’t earn)
    • Cash-in-transit insurance: deductible
    • Armored car service (if used): deductible
  • Vault cash requirements: $2,000-$5,000 per machine at any time
  • 25 machines x $3,000 average = $75,000 in vault cash tied up (not deductible, but recoverable)

Vehicle expenses:

  • Cash loading route: 5,000-15,000 miles/year
  • Standard mileage: 70 cents per mile
  • 10,000 miles = $7,000 deduction
  • If using a dedicated cash loading vehicle (over 6,000 lbs): bonus depreciation available

Insurance:

  • General liability: $500-$1,500/year
  • Equipment insurance (covers machines against vandalism, theft): $50-$100/machine/year
  • Cash-in-transit coverage: $200-$500/year
  • Vehicle insurance: varies

  • ADA compliance modifications: deductible
  • Software and monitoring: $200-$500/year
  • Annual compliance fees: varies by state

Marketing and business development:

  • Location scouting (driving to potential sites): vehicle mileage is deductible
  • Merchant proposal materials: deductible
  • Website: deductible
  • ATM locator service listings: deductible
