Mobile Notary Estimated Tax Payments: Quarterly Planning Guide
Mobile notaries and loan signing agents are self-employed, which means no employer withholds taxes from their income. The IRS expects you to make quarterly estimated tax payments covering both income tax and self-employment tax (the SE tax alone is 15.3% on the first $168,600 of net earnings for 2024, 2.9% above that). Missing these payments triggers an underpayment penalty under IRC 6654. Notary income follows real estate closing volume, which peaks in spring and summer, making the annualized income installment method useful for avoiding overpayment in the slower winter months.
Estimated tax basics for mobile notaries:
- Who must pay: any self-employed notary expecting to owe $1,000+ in tax for the year
- Due dates: April 15, June 15, September 15, January 15
- Safe harbor: pay at least 100% of last year’s tax liability (110% if AGI exceeded $150,000) spread evenly across four quarters, and no penalty applies regardless of current-year income
- Set-aside rate: 25-30% of net income (after deducting mileage and expenses) covers federal income tax + SE tax for most notaries in the 12-22% bracket
- Seasonality: real estate closings peak March-August; income is moderate, not extreme, in seasonality
- Mileage creates a large deduction: at 70 cents/mile, a notary driving 30,000 business miles has a $21,000 deduction that offsets a significant portion of gross income
- Track monthly: compare year-to-date gross income minus mileage deduction to know your running taxable profit
Annualized income installment method:
- Useful if Q1 income is significantly lower than Q2/Q3 (closing volume is lower in winter)
- Calculates each quarter’s required payment based on income received through that period, not a flat 25% of the annual estimate
- Requires Form 2210 Schedule AI
- Saves cash flow in Q1 by reducing the January and April payments
